Summary: Assure all orders have been properly entered and placed. Create and maintain all necessary files to insure a complete record. Communicate as required to insure successful furniture orders.
Principal Accountabilities: Essential duties and responsibilities include the following. Other duties may be assigned.
- Track all orders through all phases including delivery, installation, and customer satisfaction to assure the client’s satisfaction.
- Review and correct worksheets for processing.
- Review, process, correct and maintain quotes, registers, and vendor acknowledgments to ensure accuracy.
- Gather, compile, and expedite order installation, status sheets, and other reports as required for sales review, Customer Satisfaction, Accounting, and Management.
- Examine and file incoming mail for the maintenance of complete customer file folders so quick responses can be provided to clients and Sales Representatives.
- Maintain and control project folders, file mail from customers and vendors, check acknowledgments, invoices, delivery tickets and store all pertinent written projects/account information
- Track, expedite and schedule product shipments, deliveries and installations with manufacturers and vendors to ensure timely completion of job.
- Process proposals, bids, and change orders to customers and accounting that have been prepared by Sales.
- Investigate and respond to vendor, customer and accounting inquiries to insure order is shipped on time and correctly.
- Create and maintain quote and order files.
- Obtain quotes for delivery and installation from vendors as needed.
- Obtain discounting and special pricing requests from vendors as needed.

- Unlimited number of orders totaling up to at least $3 Million.
Contacts:
Internal
- Frequent contact with Sales Representative to verify and/or provide necessary information to process quotes, place orders, produce status reports, and schedule deliveries.
- Frequent contact with Branch Manager for miscellaneous approvals, sales problems and advice on handling accounts.
- Periodic contact with Customer Satisfaction Representative and Service Coordinator for technical information, receiving, delivery and installation information for repairs or replacement of product.
- Frequent contact with Order Entry and Billing to clarify orders, check on change orders, delivery ticket information, and not authorized invoices.
- Frequent contact with Accounts Payable to check payable vouchers, clarify status and to hold payments.
- Frequent contact with Project Coordination regarding customer satisfaction and not authorized invoices.
- Frequent contact with Data Coordinator to clarify quotes and maintenance requests.
- As needed contact with Credit Manager to reserve purchase order numbers, confirming credit and terms and receiving COD accounts.
External
- Frequent contact with customers to answer and ask questions, schedule deliveries, and provide status.
- Frequent contact with vendor’s customer service departments obtain status on orders, revise product information, resolve discrepancies, check lead times, and check pricing.
- Frequent contact with warehouse and installation companies for requesting quotes, scheduling deliveries, and resolving invoicing discrepancies.
Qualifications:
A minimum requirement of an Associate’s Degree with experience in standard office procedures, basic office communication, and experience in the furniture industry.
